Tryout Tracker SOP

How evaluators and head coaches sign in, score players and read results in the PVD Tryouts app. Read it once before your first session, and keep it open on your phone at the gym.

App: tryouts.statsetter.com For: evaluators and head coaches Questions: premiervbde@gmail.com

1Before the tryout

Everyone · the day before

  1. Check your invite. Your head coach adds you by email. Sign in with that exact address; any other address opens an empty account with no tryouts.
  2. Sign in once at home (section 2) and confirm your age group shows on the home screen with a Score players button.
  3. Charge your device. A tablet is best; a phone works. Bring a charger. On a phone, add the site to your home screen so it opens full-screen.
  4. Know your schedule (below). Arrive 15 minutes early and open the app on the gym network before players arrive.

2Signing in

Everyone

  1. Go to https://tryouts.statsetter.com and enter the email address your head coach invited.
  2. Tap Email me a code. An email titled “Your PVD Tryouts sign-in code” arrives within a minute. Check spam if it doesn't.
  3. Either type the code from the email into the app and tap Sign in, or tap Sign in to PVD Tryouts in the email and then Continue to PVD Tryouts.
Codes are single-use

Each code and link works once and expires after an hour. If you see “That sign-in link has expired or was already used”, request a new code. The email button signs in whichever device opens it, so on a tablet, type the code into the tablet rather than tapping the link on your phone.

You stay signed in on that device. Don't sign out at the gym (section 5 explains why).

3Scoring a player

Evaluators and head coaches · during the session

  1. From the home screen, tap Score players on your age group. You land on the Score tab.
  2. Find the player by pinnie number. Type it in the Pinnie or name box, or tap their tile. Their number appears in a pink block at the top with name, position, grad year and height. Check the name matches the player in front of you.
  3. Tap 1, 2, 3 or 4 for each of the seven skills. Each tap saves on its own; there is no save button.
    • Basic Skills: Serve, Pass, Set, Spike
    • Game IQ: Serve Receive Positioning, Rotational Knowledge, Decision-Making
  4. Move on with Next player › or the arrows beside the pinnie. They follow the grid order, not court order, so search by pinnie when players rotate.
  • Progress: each tile shows how many of the 7 skills you've scored (for example 3/7) and turns green at 7/7. The count above the grid, such as 12/60 complete, is your finished players.
  • Changing a score: tap a different number. The new score replaces the old one.
  • Can't judge a skill? Leave it blank rather than guessing. A score can be changed but not cleared, and head coaches can see how many skills each player was scored on.
  • Your scores are private. Evaluators only see their own scores. Head coaches see everyone's.

4The 1–4 scale

Everyone

Score the skill you saw today, against this age group, not against older players or last season.

1
Developing
Rarely executes; breaks down under pressure.
2
Fair
Executes sometimes; inconsistent form or results.
3
Good
Executes reliably in drills and most game play.
4
Excellent
Consistent and effective in game play; stands out for the age group.

The level names are the app's. The one-line descriptions are suggested guidance for consistency; your head coach may give age-specific benchmarks at the evaluator huddle.

Use the whole scale

Most scores landing at 2–3 is normal. Save 4 for players who clearly stand out and 1 for clear gaps. The dashboard spots evaluators who score well below or above everyone else, so there's no need to second-guess your own tendencies.

5Gym Wi-Fi and syncing

Everyone

The app keeps working when the gym Wi-Fi drops. Keep scoring: taps are stored on your device and sent automatically when the connection returns. The badge next to the search box shows where things stand.

Before you leave the gym

Wait for Synced. Queued scores live only on your device until they're sent.

6A player isn't in the app

Evaluators and head coaches

  1. Search their pinnie number first; their name may be spelled differently.
  2. If they're missing, tap + Player, enter the pinnie number, first and last name, and save. Position, grad year, height and notes are optional.
  3. Tell your head coach so they can check the details on the Roster tab, and tell the other evaluators. They may need to refresh the page to see the new player.

Pinnie numbers must be unique within a tryout. If the app refuses a number, someone already has it: check the shirt and ask the check-in table.

7Fair scoring

Everyone

  • Score independently. Don't compare or discuss scores with other evaluators during the session. Disagreement between evaluators is useful information.
  • Score what you see. Don't let club history, a sibling or a conversation with a parent move a score.
  • Keep the screen private. Don't show scores to players or parents, and don't leave a signed-in device unattended.
  • Never tell a player or parent a result. Decisions come only from the club, by email from premiervbde@gmail.com, normally within 24 hours of the tryout. No offers go out before the open tryout period.
  • Conflicts of interest: if you're related to a player or coach them privately, tell your head coach before the session and don't score that player.

9After the tryout

Head coaches

  1. Before evaluators leave, check each one's badge reads Synced.
  2. Review Disagree players and coverage gaps, then set Locked in and Cut flags.
  3. Use Export CSV for the selection meeting. The file has rank, tier, each skill's average and the flags.
  4. When selection is final, set the tryout's status to Closed (read-only) in Settings. Closing stops all further scoring.
  5. Send decisions to the club; offers go out from premiervbde@gmail.com.

10Troubleshooting

The sign-in email never arrived

Wait a minute and check spam and promotions. Make sure you typed the invited address, then tap Resend code. If it still doesn't come, ask your head coach to check your email in Settings.

I signed in but see “No tryouts yet”

You signed in with an address that wasn't invited. Sign out and use the invited address, or ask your head coach to invite this one.

The link says it expired or was already used

Each link works once. Request a new code and type it in instead.

I scored the wrong player

Score the right player. Then reopen the wrong one and tap the scores you meant for each skill you changed, or tell your head coach which pinnie to disregard.

The badge has said “Offline” for a long time

Keep scoring; nothing is lost. Try turning Wi-Fi off and on, or switch to mobile data. Don't sign out until it reads Synced.

I can't tap any scores

The tryout has been closed. Ask your head coach whether scoring should still be open.
